We are instrumental in ensuring successful operation of global learning activities across the organization and improving efficiency and simplification through high-quality administrative support.


Job Purpose:


As the Learning & Talent Services Project Coordinator, you will play a critical role in supporting the Learning and Talent Services (LTS) Leadership Team and Global Head of Learning and Talent Services in executing key activities, projects, and programs aligned with the overall Learning and Talent Services strategy.

You will collaborate with Learning Leadership team members and different stakeholder groups as needed to coordinate and support various projects and serve as a key point of contact for team members seeking information, updates, templates, etc.


Your responsibilities include but not limited to:

  • Supporting LTS LT and ELT meetings and agendas, including the organization of offsite meetings globally.
  • You will work with teams across NOCCs to ensure all relevant parties are informed of critical updates and communications.
  • Coordinating LTS team events, communications, and updates, as well as global learning admin events. You will manage all LTS DLs, Teams channels and maintain org charts to ensure smooth operations.
  • Proactively coordinating meetings, diary, schedules, and travel for Global LTS Head to ensure optimal time management.
  • Conducting research and analysis to support the development of learning and development initiatives
  • Providing project support, including cost management, expense reporting, and invoice management as needed. You will support agile working across Learning and Talent Services.
  • Role modeling the Novartis culture journey, including being inspired, curious, unbossed, and having integrity.
  • Providing Learning Management Admin support as needed.

Minimum requirements

What you'll bring to the role:

  • Minimum Graduate with 5yrs of proven experience in HR Shared Services and supporting Senior Leadership in driving business priorities and strategies.
  • You should have experience in program or project management, as this is strongly preferred.
  • Strong collaboration skills, good relationships, and stakeholder management skills for all three levels (Local, Regional, Global). You should feel at ease working in an ambiguous environment and sophisticated organization.
  • A culturally savvy approach, with the ability to build inspirational collaboration with all collaborators.
  • A proactive approach and cando attitude. You should be able to work independently and be flexible to meet changing demands.
  • Digital savviness, including strong PowerPoint skills, strong project management skills, and thinking ahead. You should have analytical thinking skills, including the ability to use key findings to get results.
