Job Summary:


Responsibilities:

Administrative Support:


  • Handle general clerical tasks such as filing, photocopying, and data entry.
  • Assist in the creation and organization of documents, reports, and presentations.
  • Manage and update office records and databases.

Communication:


  • Answer and direct phone calls in a professional manner.
  • Greet and assist visitors, clients, and employees.

Scheduling and Coordination:


  • Schedule appointments, meetings, and conference rooms.
  • Coordinate travel arrangements for employees when necessary.
  • Assist in the planning and execution of company events and meetings.

Office Supplies and Equipment:


  • Monitor and replenish office supplies as needed.
  • Ensure office equipment is in working order and coordinate maintenance when necessary.

Mail and Deliveries:


  • Sort and distribute incoming mail.
  • Prepare outgoing mail and packages for shipment.

Financial Support:


  • Assist in basic financial tasks such as invoice processing and expense tracking.
  • Collaborate with the finance department for routine tasks.

Special Projects:


  • Support various departments with special projects as assigned.
  • Contribute to process improvement initiatives.

Qualifications:


  • High school diploma or equivalent; additional education or certifications are a plus.
  • Proven experience as an office assistant or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and problemsolving skills.
  • Ability to work independently and collaboratively.

Working Conditions:

The Office Assistant will typically work in a professional office environment. Standard office hours may apply, with occasional flexibility required based on the needs of the organization.
