Personal Assistant / Executive Assistant
Job Summary:
Responsibilities:
- Manage Day-to-Day Diaries: Coordinate and maintain the schedules of the Directors, including arranging meetings, appointments, and travel arrangements.
- Schedule Calls with Clients and
Contract Management:
Facilitate communication between the Directors and clients by scheduling calls, preparing meeting agendas, and managing contract documents. Act as a point of contact for client inquiries and feedback.
Monthly Reporting:
Collaborate with the team to collect and collate monthly reports, ensuring accuracy and timeliness. Prepare comprehensive reports for the Directors, highlighting key findings and insights.
Financial Support:
Utilize accounting background to assist with financial tasks, such as preparing financial reports, tracking expenses, and analyzing financial data.
Work closely with the finance department to ensure accurate and up-to-date financial information.Information Management:
Maintain and organize important documents, contracts, and records, ensuring confidentiality and security of sensitive information.
Meeting Coordination:
Coordinate internal and external meetings, including booking venues, arranging necessary equipment, and preparing meeting materials. Take meeting minutes and distribute them as required.
Travel Arrangements:
Arrange travel itineraries, including flights, accommodation, and transportation, ensuring efficient scheduling and cost-effectiveness.
Relationship Management:
Foster positive relationships with clients, team members, and other stakeholders, representing the Directors professionally and ensuring excellent customer service.
Continuous Improvement:
Identify opportunities to streamline processes, improve efficiency, and implement best practices in administrative and operational tasks.
Qualifications and Skills:
- Previous experience in a similar role, preferably as a Personal Assistant to senior executives or Directors.
- Background in accounting or finance is highly preferred.
- Excellent organizational skills with the ability to manage multiple tasks and priorities.
- Strong attention to detail and accuracy in work.
- Excellent communication skills, both written and verbal.
- Ability to handle confidential information with discretion.
- Strong problemsolving and decisionmaking abilities.
- Proactive and selfmotivated, with the ability to work independently and as part of a team.
