Description

The Bill of Lading Documentation Specialist plays a crucial role in the logistics and transportation industry by ensuring accurate and timely preparation of bill of lading documents.

This position involves working closely with various stakeholders, including shippers, carriers, and internal teams, to facilitate the smooth movement of goods and maintain compliance with legal and regulatory requirements.


Key Responsibilities:

Document Preparation:
Prepare, review, and process bill of lading documents in accordance with established guidelines and procedures. Ensure accurate and complete information, including shipper and consignee details, cargo description, quantity, weight, and any special instructions.

Compliance Verification:

Verify that all necessary documentation and legal requirements are met, such as customs regulations, international trade laws, and industry-specific standards.

Ensure adherence to relevant safety, security, and hazardous material handling guidelines.

Communication and Coordination:

Collaborate with internal teams, carriers, and shipping agents to obtain necessary information and resolve any discrepancies or issues related to bill of lading documentation.

Communicate effectively with various stakeholders to facilitate smooth cargo movement and address any concerns or inquiries.

Data Entry and Recordkeeping:
Accurately enter data from shipping documents into computer systems or databases.

Maintain organized records of bill of lading documentation, including electronic files and physical copies, for future reference and auditing purposes.


Quality Assurance:
Conduct thorough reviews of bill of lading documents to identify and correct any errors or inconsistencies. Ensure the completeness and accuracy of information, such as product codes, packaging details, and shipping terms.

Problem Resolution:

Proactively identify and resolve potential issues related to bill of lading documentation, such as missing or incorrect information, shipping delays, or documentation discrepancies.

Collaborate with relevant stakeholders to find suitable solutions and mitigate any negative impact on the supply chain.

Process Improvement:
Continuously evaluate and enhance the efficiency and effectiveness of bill of lading documentation processes. Identify opportunities to streamline workflows, automate tasks, or implement new technologies to improve accuracy, speed, and overall productivity.

Compliance Monitoring:
Stay updated on relevant industry regulations, legal requirements, and best practices related to bill of lading documentation. Ensure compliance with international trade agreements, customs laws, and transportation regulations to minimize risks and maintain regulatory compliance.


Qualifications and Skills:

  • High school diploma or equivalent; additional certifications or education in logistics or supply chain management is a plus.
  • Proven experience in bill of lading documentation or related roles within the logistics, freight forwarding, or shipping industry.
  • Strong attention to detail and excellent data entry skills.
  • Excellent communication and interpersonal skills to effectively collaborate with internal and external stakeholders.
  • Knowledge of international trade regulations, customs procedures, and transportation industry practices.
  • Ability to prioritize tasks, work under pressure, and meet strict deadlines.
  • Strong problemsolving and analytical abilities to identify and resolve documentation issues effectively.
  • Familiarity with shipping terms, cargo handling, and freight forwarding processes.
  • Understanding of supply chain management concepts and logistics operations.

Salary:
₹15, ₹35,000.00 per month
