Job Summary:


As the Executive Assistant to the Director, you will play a pivotal role in providing comprehensive administrative and executive support to ensure the smooth functioning of the Director's office and enhance organizational efficiency.


Key Responsibilities:


  • Calendar Management: Efficiently manage the Director's schedule, including scheduling appointments, meetings, and conferences, while prioritizing conflicting demands and ensuring timely reminders.
  • Travel Coordination: Arrange travel itineraries, accommodations, and logistics for the Director's business trips, ensuring seamless arrangements and timely updates.
  • Document Preparation: Prepare, proofread, and edit documents, presentations, and reports for the Director, ensuring accuracy, consistency, and adherence to organizational standards.
  • Meeting Support: Facilitate meetings by preparing agendas, collating relevant materials, recording minutes, and following up on action items, ensuring effective communication and coordination.
  • Stakeholder Liaison: Build and maintain positive relationships with key stakeholders, both internal and external, to facilitate effective communication and collaboration on behalf of the Director.
  • Confidentiality Maintenance: Handle sensitive information with discretion and maintain confidentiality at all times, ensuring the integrity and security of privileged data.
  • Project Coordination: Assist in coordinating special projects, initiatives, and events as assigned by the Director, providing logístical support and ensuring deadlines are met.

Minimum Qualifications:


  • Proven Experience: Minimum of 5 years of experience as an Executive Assistant or similar role, preferably supporting Csuite executives or senior management.
  • Exceptional Organizational Skills: Ability to manage multiple priorities, meet deadlines, and maintain attention to detail in a fastpaced environment.
  • Excellent Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with individuals at all levels.

Resourceful and proactive approach to problem-solving, with the ability to anticipate needs and take initiative to address challenges.

  • Discretion and Professionalism: Demonstrated ability to handle confidential information with tact, integrity, and professionalism.
  • Adaptability: Flexible and adaptable to changing priorities and willing to take on new tasks and responsibilities as needed.
  • Bachelor's Degree: A bachelor's degree in Business Administration, Secretarial Studies, or related field is preferred.
