Job Summary:
As the Executive Assistant to the Director, you will play a pivotal role in providing comprehensive administrative and executive support to ensure the smooth functioning of the Director's office and enhance organizational efficiency.
Key Responsibilities:
- Calendar Management: Efficiently manage the Director's schedule, including scheduling appointments, meetings, and conferences, while prioritizing conflicting demands and ensuring timely reminders.
- Travel Coordination: Arrange travel itineraries, accommodations, and logistics for the Director's business trips, ensuring seamless arrangements and timely updates.
- Document Preparation: Prepare, proofread, and edit documents, presentations, and reports for the Director, ensuring accuracy, consistency, and adherence to organizational standards.
- Meeting Support: Facilitate meetings by preparing agendas, collating relevant materials, recording minutes, and following up on action items, ensuring effective communication and coordination.
- Stakeholder Liaison: Build and maintain positive relationships with key stakeholders, both internal and external, to facilitate effective communication and collaboration on behalf of the Director.
- Confidentiality Maintenance: Handle sensitive information with discretion and maintain confidentiality at all times, ensuring the integrity and security of privileged data.
- Project Coordination: Assist in coordinating special projects, initiatives, and events as assigned by the Director, providing logístical support and ensuring deadlines are met.
Minimum Qualifications:
- Proven Experience: Minimum of 5 years of experience as an Executive Assistant or similar role, preferably supporting Csuite executives or senior management.
- Exceptional Organizational Skills: Ability to manage multiple priorities, meet deadlines, and maintain attention to detail in a fastpaced environment.
- Excellent Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with individuals at all levels.

- Discretion and Professionalism: Demonstrated ability to handle confidential information with tact, integrity, and professionalism.

- Bachelor's Degree: A bachelor's degree in Business Administration, Secretarial Studies, or related field is preferred.
