Key Responsibilities:
Personal Assistance:
Act as a reliable point of contact for the executive, handling personal matters, and providing support with various day-to-day tasks as needed.
Client Management:
Engage with clients professionally and courteously, maintaining positive relationships and ensuring their needs and inquiries are addressed promptly.
Scheduling Meetings:
Efficiently manage the executive's calendar, scheduling meetings, conference calls, and appointments while coordinating with internal and external stakeholders.
Updating Status Reports:
Prepare and maintain status reports, progress updates, and project summaries to keep the executive informed and facilitate decision-making.
Booking Appointments:
Arrange appointments for the executive, including medical visits, business engagements, and personal commitments.
Calendar Management:
Regularly review and adjust the executive's calendar to accommodate changing priorities and ensure optimal time management.
Payment of Bills:
Oversee the payment of bills, invoices, and expenses, ensuring accuracy and timely settlement.
Setting up Reminders:
Utilize various tools and systems to set up reminders for important dates, deadlines, and commitments, preventing any oversight.
Coordination of Tasks:
Work closely with other team members to facilitate seamless coordination of tasks, projects, and deadlines on behalf of the executive.
Travel Arrangements:
Assist with travel planning, including booking flights, accommodations, transportation, and organizing travel itineraries.
Confidentiality:
Handle sensitive information with utmost confidentiality and discretion.
Problem Solving:
Proactively identify potential issues and challenges, devising solutions and implementing improvements to enhance efficiency and effectiveness.
Qualifications and Skills:
- Proven experience as an Executive Assistant or similar administrative role, preferably in a personal assistance capacity.
- Excellent organizational and time management skills to handle multiple tasks and priorities.
- Strong written and verbal communication abilities, with exceptional interpersonal skills.
- Proficiency in using productivity tools such as Microsoft Office, Google Workspace, and calendar management systems.
- High level of attention to detail and accuracy in all aspects of work.
- Ability to maintain a professional demeanor under pressure and in challenging situations.
- Discretion and trustworthiness when handling confidential information.
- Flexibility and adaptability to accommodate changing priorities and evolving business needs.
- Prior experience in client management or customer service would be a plus.
