Position:
Front Office Assistant


Role and Responsibilities:


  • Greet visitors, guests, and clients in a professional and friendly manner.
  • Answer phone calls, take messages, and direct calls to the appropriate individuals.
  • Provide information and assistance to visitors and clients regarding the organization, its services, and other relevant inquiries.
  • Maintain a neat and organized front desk area, including the reception area, waiting area, and conference rooms.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Schedule and coordinate appointments, meetings, and conference room reservations.
  • Assist with various administrative tasks, such as data entry, filing, and document preparation.
  • Maintain office supplies inventory and place orders as needed.
  • Collaborate with other staff members to ensure efficient office operations.
  • Assist with basic accounting tasks, such as processing invoices and expense reports.
  • Handle basic clerical duties, including photocopying, scanning, and faxing documents.
  • Assist with travel arrangements for employees, including booking flights, accommodations, and transportation.
  • Ensure the confidentiality and security of sensitive information and documents.
  • Perform other duties as assigned by the supervisor or manager.

Qualifications and Skills:


  • High school diploma or equivalent; additional certification or training in office administration is a plus.
  • Proven experience in a similar role as a receptionist, front office assistant, or administrative assistant.
  • Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
  • Strong organizational and multitasking abilities, with attention to detail.
  • Proficient computer skills, including Microsoft Office Suite (Word, Excel, Outlook) and basic knowledge of office equipment (e.g., fax machine, photocopier).
  • Ability to work independently and as part of a team, with a positive and proactive attitude.
  • Exceptional customer service skills, with the ability to handle inquiries and complaints effectively.
  • Excellent time management skills and the ability to prioritize tasks in a fast-paced environment.
  • Strong problem-solving skills and the ability to handle unexpected situations or conflicts professionally.
  • Professional appearance and grooming.

Job Types:
Full-time, Regular / Permanent


Salary:
₹8, ₹30,499.30 per month
