The Office Facilitator plays a crucial role in ensuring the smooth and efficient operation of the office environment. They are responsible for providing administrative and logístical support to various departments and employees within the organization. The primary objective of an Office Facilitator is to create a productive and harmonious workplace for all staff members.Duties and Responsibilities:
- Facilities Management: Oversee the daytoday operations of the office facilities, including ensuring cleanliness, maintenance, and functionality. Coordinate with vendors and service providers for repairs, maintenance, and other officerelated services
- Travel Arrangements: Coordinate travel arrangements for employees, including booking flights, hotels, and transportation, and preparing travel itineraries. Ensure compliance with travel policies and provide necessary documentation and support.
- Record Keeping: Maintain and update office records, including employee information, office expenses, inventories, and other relevant documentation. Assist with data entry and record management systems.
- Support Staff: Assist staff members with administrative tasks, such as preparing documents, organizing files, and managing calendars. Provide administrative support to various departments as needed.
- Office Equipment and Supplies: Monitor and maintain office equipment, including printers, copiers, and computers. Ensure availability of office supplies and place orders when necessary.
- Health and Safety: Ensure compliance with health and safety regulations and guidelines. Coordinate emergency procedures, maintain first aid supplies, and promote a safe working environment.
Qualifications and Skills:
- High school diploma or equivalent; additional administrative or office management certifications are a plus.
- Proven experience in an administrative or office support role.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively in a team environment.
- Strong problemsolving and decisionmaking skills.
Ability to commute/relocate:
- Ernakulam, Kerala: Reliably commute or planning to relocate before starting work (required)
