What this job involves

You will oversee the entire PAM division of JLLBO focusses on the residential business and the Co-Ops lead is a critical position to ensure the right service delivery resulting into business continuity as well as organic growth.

To be the custodian of overall sites falls under his/her supervision.
To ensure that invoicing is done at all sites by 1st week of the month. Or max by 11th of every month

To ensure that the bills are submitted to the clients with relevant compliances in a timely manner throughout the cluster.

Ensure follow up actions on payment recovery as per terms in Service Agreement. (Mails/reminders/dunning letters/ demand letters/legal notices etc).
Delays in the above to be notified to the Zonal Lead with actions taken and proposed.
Provide timely data in terms of collections/recovery

To ensure there is a monthly meeting with clients at all sites of the cluster and a proper MMR is conducted in presence of client/residents.

MOM of this to be shared and followed up on.
There should be visits in addition to the planned ones for developing an understanding with the clients
Ensure that planned visits of Senior Management with Client are executed as per schedule.
To oversee and ensure that the Service Delivery is as per the agreement.
There must be scheduled as well as surprise Operations checks by the cluster head on site
To ensure all the scheduled trainings as per the calendar are conducted by SMEs.

Ensure the service providers are also conducting regular trainings for the down team and all the trainings are updated on Overview.

To ensure that all the scheduled audits by SMEs are completed on time and there is regular follow up by the team for closure.

To ensure that there are timely site reviews on the above with all Property Managers.
To ensure maximum participation of site leads/teams whenever any centralised trainings are conducted.
My learning and development - 02 trainings per quarter for self and all the teams to be ensured.
To ensure that all systems and process are followed and implemented on all sites under you.
DMR/ MMR/ MOMs/ SOPs/ AMC trackers/ Monthly compliance checklist
Timely approval of attendances of teams at all sites.
Ensure that all technology platforms are implemented, and the teams are using it. (KAD/FSI Go etc)
Incident reporting as per SOP be reported to Sr Mgmt immediately.
Monthly Vendor performance reviews
There must be special focus on Safety and Ethics. (Zero incident and zero tolerance policy).
Any slightest of safety concerns on site to be duly documented/highlighted to the client.
Correct Labour allocation/ team mapping of all teams
Implementation and sharing of best practices across all sites and clusters
Prepare and offer for cross cluster audits and checks
Right governance in terms of appraisals/ increments and punishments etc
Benchmarking in terms of optimum resources utilisation
Cost optimisation in AMCs in coordination with procurement team
Cost saving measures
Timely Minimum Wage revision and implementation. Documented well on time with client to avoid any gap later-on.
STPs to be personally monitored in terms of safety and operations.
Risk register inclusion in MMR
To ensure all Service Agreements of the cluster are valid
To ensure all Service Agreements of the cluster are renewed well in time
To work towards Organic Growth
To seek and follow new business leads in the market.
Facilitate the services under the Slogan "No Safety No Work".
