Introduction:
The PMO is required to support one or more Programmes / Projects and ensure the Programme / Project Managers can fully execute their duties which in turn support the overall delivery of the project.
The PMO will provide oversight, guidance and support on the deliveries to ensure successful Business Outcomes for the programme / project.
What will you be doing?Status reporting
- Manage the weekly reporting process, chasing PMs as required to ensure the timely submission of reports to management team
- Escalating late delivery or noncompliance to formats
- Do first pass review for issues or errors with returned reports
- Provide support for queries on the process or tools
- Reviewing and challenging reports provided for adherence to standards, completeness and reasonableness
- Manage and coordinate Initiative governance structure, assisting the Initiative Manager in the preparation and coordination of materials
- Take actions and minutes at some internal project meetings
- Assist in the production of the Project/Programme Forum papers, Programme Board agendas and other reporting activities and ensure all Project/Programme Forum papers, Programme Board agendas and communications to stakeholders are prepared to a high standard on a timely basis
- Management of Milestone and project data in core tools
- Ensuring all RAIDs are identified and addressed promptly and if necessary escalated on a timely basis
- Proactively maintain the initiative RAID log and assist initiative manager and work stream leads in the management and resolution of issues and risks
- Helping to maintain the resource logs and resource profiles of projects
- Ensures Time Recording adhered to by initiative Resources
- Checking completeness on time recording in timesheets and chasing if not
- Works with Initiative Manager to create and track Programme Budget including management and Reporting of initiative costs and budgets on timely basis
- Supporting delivery to time and budget with detailed tracking of actual costs and budget and also tracking and challenging the business budgets and actual costs
- Help with the creation of initiative plans under the instruction of the PM or PMO Manager
- Support the PM or PMO Lead to embed and enforce best practice project management processes
- Assist with reviews of compliance to standards as instructed by the Project Manager or PMO Manager
- Ensure adherence of the initiative to Execution Risk Governance Standards and the Change Delivery Control Standards, and ensure that the appropriate change management tools (e.g. Navigator, Agile Central) are up to date with current and accurate record of Project Status, RAIDS, Resource details etc.
- Manages and executes internal deep dives / audits of underperforming initiatives or work streams.
- Help with the set up maintenance and review of the project library (may include SharePoint site administration)
- No direct reports
- Manage Stakeholder from within the programme and governance bodies
- Relationship with PIO leads and PMO leads across RFT Technology
What we're looking for:
- Experienced PMO with demonstrable track record of supporting multiple programmes/projects
- Understanding of Programme / Project management methodologies and governance
- Strong Excel / Powerpoint and MSP skills
- Excellent communication, interpersonal and stakeholder management skills. Able to work with and present to senior stakeholders.
- Graduate degree from top tier college / university
Skills that will help you in the role:
- Experience of working with Technology deliveries and complex programmes/projects
- Experience of working across multiple business areas across virtual global teams
- Knowledge and understanding of Agile methodology and supporting tools and techniques
