Who are we looking for?

Executive Assistant to Executive Director
WOTR is on the lookout for an Executive Assistant to own and manage administrative duties for the office of the Executive Director


At WOTR you will

  • Prepare and prioritize tasks related to the office of the Executive Director and the Managing Trustee
  • Prepare and facilitate the agenda for meetings and ensure that they are organised efficiently
  • Prepare documents for internal and external purposes
  • Manage correspondence for the Executive Director's office and as instructed by the Executive Director (Printing letter copies, scanning, posting)
  • Contact stakeholders, officials, etc. for communication as required by the Executive Director and for setting up meetings.
  • Accurately record minutes from meetings
  • Schedule meetings and appointments and manage travel itineraries
  • Maintain an organized filing system for paper and electronic documents
  • Manage and update the address book (all external stakeholders)
  • Help the Executive Director in tasks that require follow up
  • Assist in completing the duediligence process
  • Uphold the highest levels of confidentiality
  • Exhibit a high level of professionalism with staff and partners
  • Manage other work assigned by Executive Director/Trustee to meet the organizational goals
  • Assist in proofreading and designing some of the organisation's publications (knowledge of tools like Adobe Illustrator and Corel Draw will be an advantage.
  • A minimum working experience of 5 years under Managing Director or Director in an organisation.
  • A good memory with high grasping power
  • Proficiency in both written and spoken English
  • A hardworking ability and take timelines seriously
  • Honesty and reliability
  • An eye for good design
  • Openness to acquiring new skills
  • Knowledge of tools like Adobe Illustrator and Corel Draw will be an advantage
