Position Overview:

The School front desk serves as the first point of contact for students, parents, staff, and visitors entering the school premises.

They are responsible for creating a positive and welcoming atmosphere, managing inquiries, providing administrative support, and ensuring the efficient operation of the school's front desk.


Key Responsibilities:

Front Desk Management:


  • Greet and welcome students, parents, staff, and visitors in a friendly and professional manner.
  • Provide accurate and timely information about the school's programs, policies, events, and activities.

Tech Savvy:


  • Should be tech savvy and proficient in using word, excel and should be internet savvy.

Visitor and Guest Assistance:


  • Issue visitor badges and maintain a log of guests entering the premises.
  • Ensure compliance with school security protocols by verifying the identity of all individuals accessing the school.

Student Attendance:


  • Manage student attendance records, including tracking absences, tardiness, and early dismissals.
  • Communicate attendancerelated matters to parents and guardians as necessary.

Administrative Support:


  • Assist with various administrative tasks, such as maintaining student records, filing documents, and organizing paperwork.
  • Prepare and distribute newsletters, announcements, and other relevant materials.

Scheduling and Appointments:


  • Coordinate appointments between parents, teachers, and administrators.
  • Maintain an organized schedule for meetings, events, and conferences.

Communication:


  • Serve as a liaison between parents, teachers, and school administrators, relaying messages and facilitating communication.
  • Manage communication tools like intercom systems, bulletin boards, and online platforms.

Emergency Response:


  • Follow established protocols for emergency situations, including lockdowns, evacuations, and medical incidents.
  • Assist with maintaining emergency contact lists and ensuring emergency supplies are accessible.

Clerical Duties:


  • Perform basic clerical tasks, such as photocopying, faxing, and data entry.
  • Manage incoming and outgoing mail and deliveries.

Maintaining a Welcoming Environment:


  • Ensure the reception area is clean, organized, and presentable at all times.
  • Create a warm and inviting atmosphere for students, parents, and visitors.

Qualifications:


  • Bachelor's degree in education, administration, business management, or a related field (Master's degree preferred).
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Customer serviceoriented attitude with a friendly and approachable demeanor.
  • Attention to detail and accuracy in maintaining records and information.
  • Ability to handle sensitive and confidential information discreetly.

Experience in a receptionist or administrative role is preferred.


Working Conditions:

The School Receptionist typically works in an indoor office environment within the school premises. The role involves frequent interactions with students, parents, staff, and visitors.

Depending on the school's schedule, the receptionist may work regular school hours or have varied hours to cover events, meetings, or activities.
