    RoleDescription

    We are looking for an ExecutiveAssistant who will provide executive administrative anddevelopmentsupport to the CEO as well as to the Senior Leadership Team (SLT).TheExecutive Assistant serves as the primary point of contact forthe CEO and will use excellentcommunication skills a solidunderstanding of her needs and preferences and a soundsense ofjudgement. The Executive Assistant will also serve as a liaison tothe Board ofDirectors and senior management teams organize andcoordinate executive outreach and external relations efforts; andoversee specialprojects.

    Responsibilities wouldinclude:

    ExecutiveSupport

    o Assists the CEO withdaily administrative duties and completes a broad varietyofadministrative tasks thatinclude

    • Managing an activecalendar ofappointments
    • Completingexpense reports
    • Composingand preparingcorrespondence
    • Arrangingcomplex and detailed travel plans itineraries andagendas
    • Compiling documentsfor meetings u tilise a variety of software packages toproduce correspondence/documents andmaintain presentationsspreadsheets and databases
    • Communicates withthe Peepul tea month CEOs behalf and coordinates logisticswithhighlevel meetings both internally andexternally.
    • Coordinates meetings andstrategicactivities with the SLT
    • Communicatesdirectly and on behalf of the CEO with Board members donors Peepulteam and others on matters related to programmatic initiatives asdirected
    • Conducts research on prospectivecorporate and foundation donors to identify and evaluate currentneeds and assembles materials needed for theproposals
    • Drafts reports letters ofsolicitation proposals; prepares and coordinates oral and writtencommunication with donors andprospects

    OrganizationalSupport

    • Administrativelysupports Manager Human Resources to provide recruiting supportsetup a system of performance appraisal and support the efficientrollout of HRprocesses
    • Partner with seniorleadership on building a strong office culture Serves as the CEOsadministrative liaison to the Board of Directors and managesBoardactivities which include Coordinating semiannual Boardmeetings and dinners/staff lunches/receptions/new Board memberorientations
    • Coordinates subcommittee meetingsmaintains confidential files and contactinformation
    • Coordinates meetings conferencesand committees both on and offsite to support the CEOsagenda
    • Participates as an adjunct member of theSLT including assisting in scheduling attendingmeetings
    • Assists in coordinating the agenda ofsenior management team meetings Prepares minutes of the meetingsand designates and follows up on assigned actionitems

    Qualifications

    Experienceand skills:

    • Qualifiedto degree level (at least a threeyear bachelors degree) orabove
    • Highly computer literate with experienceof data handling and necessary IT systems(including PowerPointdiary management using Microsoft Outlook and mail merge usingMicrosoft Word)
    • Experience of handling largeamounts of administration and managing competingdemands
    • Excellent verbal communication skillsin English and Hindi to produce and maintain documents and toeffectively proofread material for publicdistribution.
    • Must be able to communicate atall levels and have the confidence to handle difficult phoneconversations in a calm and professionalmanner
    • Excellent interpersonal skills theability to build and maintain relationships with high profileindividuals
    • Takes ownership and pride over thequality of work as an individual and teammember
    • Strong administration skills and theability to maintain and implement effectivesystems
    • The ability to multitask and prioritisecompeting demands effectively
    • Ability to carryout research tasks asdirected
