Key Responsibilities:


Administrative Support:
Organize and manage the executive's calendar, scheduling meetings, appointments, and events.
Coordinate travel arrangements, including flights, accommodations, and transportation.
Prepare and review documents, presentations, reports, and other materials for accuracy and coherence.


Communication:
Act as the primary point of contact between the executive and internal/external stakeholders.
Draft, proofread, and edit correspondence, ensuring consistent messaging and tone.


Information Management:
Maintain and organize electronic and physical files, ensuring easy retrieval of information.
Compile and distribute meeting agendas, minutes, and follow-up action items.
Manage confidential information with discretion and integrity.


Meeting Coordination:
Arrange and coordinate meetings, conferences, and workshops, ensuring all logistics are in place.
Prepare meeting materials, agendas, and presentations, and distribute them to participants ahead of time.
Take accurate meeting minutes and track action items, deadlines, and follow-up tasks.


Project Assistance:
Assist in the execution of special projects, initiatives, and events as directed by the executive.
Collaborate with cross-functional teams to gather information, conduct research, and compile data.


Office Management:
Maintain office supplies, equipment, and ensure a well-organized work environment.
Handle incoming and outgoing mail and packages.
Coordinate with IT and facilities management for any technical or physical office needs.


Relationship Management:
Build and maintain positive relationships with clients, partners, and other stakeholders.
Represent the executive in a professional and approachable manner.


Time Management:
Prioritize tasks and manage deadlines effectively to ensure the executive's schedule runs smoothly.
Assist in time management strategies, ensuring optimal allocation of the executive's time.


Qualifications and Skills:


  • High school diploma or equivalent; bachelor's degree preferred.
  • Proven experience as an executive secretary or similar administrative role.
  • Proficiency in office software and tools, including Microsoft Office Suite and calendar management systems.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Discretion and the ability to handle sensitive information with confidentiality.
  • Attention to detail and a commitment to accuracy.
  • Strong interpersonal skills and the ability to interact with diverse personalities.
  • Adaptability and the capacity to work in a fastpaced environment.
  • Problemsolving skills and the ability to think proactively.

Salary:
Up to ₹40,000.00 per month


Schedule:

  • Day shift

Ability to commute/relocate:

  • Jaipur, Rajasthan: Reliably commute or planning to relocate before starting work (required)

Experience:

Administrative Support: 1 year (required)
Meeting Coordination: 1 year (preferred)

  • Office management: 1 year (required)
