Job Purpose:
- The Executive Assistant to the CEO plays a key role in ensuring the efficient operation of the CEO's office.
- This position requires a high level of professionalism, discretion, and organizational skills.
- The EA to CEO will manage the CEO's schedule, handle communications, and provide administrative support to optimize the CEO's productivity and effectiveness.
Responsibilities:
Calendar Management:
- Efficiently manage the CEO's schedule, including meetings, appointments, and travel arrangements.
- Prioritize and coordinate commitments to ensure the CEO's time is used effectively.
Communication Management:
- Act as a liaison between the CEO and internal/external stakeholders.
Travel Coordination:
- Plan and arrange all travel logistics for the CEO, including flights, accommodations, and ground transportation.
- Prepare itineraries and ensure the CEO's travel needs are met.
Documentation and Record Keeping:
- Maintain and organize important documents, files, and records related to the CEO's work.
- Draft, edit, and proofread correspondence, reports, and presentations as needed.
Meeting Support:
- Schedule, prepare materials for, and coordinate meetings, conferences, and other events.
- Attend meetings when required and provide followup support, such as minutes and action items.
Confidentiality:
- Handle sensitive and confidential information with the utmost discretion and maintain a high level of confidentiality.
Task Delegation:
- Assist in delegating tasks and projects to appropriate staff members, ensuring followup and completion.
Project Support:
- Support the CEO in special projects, which may include research, data analysis, and presentations.
Team Coordination:
- Collaborate with the CEO's executive team and other department heads to ensure smooth operations and communication within the organization.
Office Management:
- Oversee the CEO's office, including supply management, office organization, and related administrative tasks.
