We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company's senior-level managers.
The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail.
We prefer someone with previous experience working in an office environment, performing administrative duties and providing support to management.Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidences related to high-level systems and operations.
Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.
Responsibility- With a primary responsibility of supporting the CEO, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently
- Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
- Organize team communications and plan events, both internally and offsite
- Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports
- Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly
- Manage complex office administrative work requiring the use of independent judgment and initiative
- Act as the point of contact among executives, employees, clients and other external partners
- Act as an office manager by keeping up with office supply inventory
- Bachelor's degree required or equivalent work experience
- Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms with aptitude to learn new software and systems
- Work experience as an Executive Assistant, Personal Assistant or similar role preferred.
