Duties and Responsibilities:


  • Assist our CEO with scheduling appointments and maintains updates/changes calendar.
  • Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Manage the travel budget and book all executive air travel, land transport, and accommodation as well as communicating those arrangements with a high level of detail and follow through.
  • Plan, coordinate, organize and help at various company meetings, events, and celebrations.
  • Maintaining the office, provides daytoday administration through phone, written and facetoface contract with all those needed assistance from Department Executive's office.
  • Screens and directs incoming calls or visitors to the appropriate individual or department
  • Create reports, presentations, memo/communications and/or type up meeting notes
  • Research and follow ups on inquiries that require more indepth information.
  • Processes billing invoices and maintains accurate records.
  • Maintains an efficient and organized filing system, including contracts lists, and any other pertinent information to the department director
  • Support the Global Directors with local arrangements when needed.

What you'll need:


  • 3+ years of experience in administrative assistance
  • Minimum of two years as an executive administrate assistance
  • Exceptional communication, interpersonal, and decisionmaking skills
  • Proven ability to work in a fast paced always changing environment
  • Strong computer skills, MS word, Excel and Power Point
  • Detail oriented with a strong attention to detail
  • Ability to work independently to meet deadlines
  • Strong communication and interpersonal skills.
  • Strong problemsolving ability
  • Ability to read, write and communicate in the English language
  • Desire to grow professionally with networking and ongoing training opportunities
  • Ability to travel as needed
