- Assist our CEO with scheduling appointments and maintains updates/changes calendar.
- Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
- Manage the travel budget and book all executive air travel, land transport, and accommodation as well as communicating those arrangements with a high level of detail and follow through.
- Plan, coordinate, organize and help at various company meetings, events, and celebrations.
- Maintaining the office, provides daytoday administration through phone, written and facetoface contract with all those needed assistance from Department Executive's office.
- Screens and directs incoming calls or visitors to the appropriate individual or department
- Create reports, presentations, memo/communications and/or type up meeting notes
- Research and follow ups on inquiries that require more indepth information.
- Processes billing invoices and maintains accurate records.
- Maintains an efficient and organized filing system, including contracts lists, and any other pertinent information to the department director
- Support the Global Directors with local arrangements when needed.
What you'll need:
- 3+ years of experience in administrative assistance
- Minimum of two years as an executive administrate assistance
- Exceptional communication, interpersonal, and decisionmaking skills
- Proven ability to work in a fast paced always changing environment
- Strong computer skills, MS word, Excel and Power Point
- Detail oriented with a strong attention to detail
- Ability to work independently to meet deadlines
- Strong communication and interpersonal skills.
- Strong problemsolving ability
- Ability to read, write and communicate in the English language
- Desire to grow professionally with networking and ongoing training opportunities
- Ability to travel as needed
