Job Summary:
We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive support to our senior executives.
As an Executive Assistant, you will be responsible for coordinating various administrative tasks, managing travel and accommodation arrangements, handling visa procedures, minuting corporate meetings, and ensuring efficient coordination for visits, meetings, and events.
You will also be responsible for personalized banking tasks, maintaining the daily calendar, and managing the arrangements and hospitality for national and international guests.
This role requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment.Key Responsibilities:
- Coordinating Travel and Accommodation: Manage travel bookings, including flights, transportation, and hotel accommodations for senior executives. Ensure timely and costeffective arrangements while adhering to the company's travel policies.
- Minuting Corporate Meetings: Attend corporate meetings, take accurate minutes, and prepare detailed reports. Ensure the timely distribution of meeting minutes and followup on action items as required.
- National/
International Guest Coordination:
Coordinate and manage arrangements for national and international guests, including travel, accommodation, transportation, and hospitality. Ensure a seamless and positive experience for guests during their visit.
- Personalized Banking: Handle personalized banking tasks for senior executives, including managing expense reports, reimbursements, and other financial transactions. Maintain confidentiality and accuracy in financial matters.
- Maintaining Daily Calendar: Maintain and update the daily calendar for senior executives, including scheduling appointments, meetings, and events. Coordinate conflicting priorities and ensure efficient time management.
- Coordination for Visits and Meetings: Coordinate and schedule visits, meetings, and events involving internal and external stakeholders. Liaise with various departments and individuals to ensure proper arrangements and timely execution.
- Coordination for HO
Ds Meetings:
Assist in organizing and coordinating meetings for the Heads of Departments (HODs). Prepare meeting agendas, schedule appointments, and ensure all necessary resources are available.
- Arrangement and
Hospitality Management:
Plan and manage arrangements and hospitality for national and international guests, including accommodation, transportation, catering, and entertainment. Ensure a high level of professionalism and attention to detail.
Requirements:
- Minimum of 5 years of experience as an Executive Assistant, preferably assisting Directors, COOs, or MDs.
- Graduate degree, preferably in Commerce.
- Additional qualifications such as a Postgraduate degree, Diploma in Business Management (DBM), or MBA are preferred.
- Strong knowledge of travel and hotel booking procedures.
- Familiarity with visa procedures and documentation requirements.
- Excellent minutetaking skills and the ability to prepare comprehensive reports.
- Proficiency in personalized banking processes.
- Exceptional organizational and time management skills.
- Strong communication and interpersonal abilities.
- High level of discretion and confidentiality.
- Proficiency in using productivity software and calendar management tools.
