Purpose of Role:


Assist the Business unit head and the leadership team in efficiently by managing all administrative matters and allowing them to focus on their main responsibility of driving the business.


The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Business Unit Head.

The Executive Assistant serves as a liaison to the Group Leadership team and senior management teams; organizes and coordinates executive outreach and external relations efforts; and responsible for tracking and reporting special projects.

Key Responsibilities:

  • Assists the Business Unit Head with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
  • Communicates with the general staff on the Business unit head behalf and coordinates logistics with highlevel meetings both internally and externally. Coordinates meetings and strategic activities with the SLT, The Management Team (TMG), and members of staff.
  • Communicates directly and on behalf of the BUH with divisional assistants, Group leaders to coordinate meetings
  • Conducts research on relevant management areas to provide inputs to create high level presentations.
  • Drafts reports, letters of solicitation, proposals; prepares and coordinates oral and written communication with divisional leaders and Management team.
  • Maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off site to support the BUH agenda.
  • Assists in coordinating the agenda of senior management team meetings. Prepares an account of the meetings and designates and follows up on assigned action items.
  • SPOC for organizing international travels including flights, visa requirements, hotel accommodation, car rental for the BU
  • Assisting HR Head in reward, recognition and engagement programs

Job Knowledge/Education and Qualifications:

  • Qualification preferably MBA or equivalent and Bachelors in commerce or business Administration
  • Minimum 6 Years of experience as Executive Assistant for a CEO or similar roles
  • Ability to think through complex issues and situations and develop robust, wellthoughtout solutions which meet the need of the business
  • Ability to troubleshoot and implement changes in his/her processes; ability to identify major areas of concerning compliance to travel policy as well as recommend measures to address identified exceptions; ability to analyse and present travel spending data in a way that will provide optimum benefits to the business
  • Ability to liaise with Technology and communicate system requirements
  • Ambitious individual who can work under their own direction towards agreed targets/goals and with creative approach to work
  • Intuitive individual with an ability to manage change and proven time management
  • Proven interpersonal skills while contributing to team effort by accomplishing related results as needed
