Responsibilities:
Project Management:
Plan, execute, and oversee multiple projects from initiation to completion
Define project scope, goals, and deliverables in collaboration with stakeholders
Develop project plans, timelines, and budgets
Coordinate project resources, including personnel and materials
Monitor project progress, identify and mitigate risks, and ensure timely completion
Facilitate effective communication and collaboration among project team members
Prepare and present project status reports to stakeholders
Executive Support:
Provide comprehensive administrative support to senior executives
Manage calendars, schedule meetings, and coordinate travel arrangements
Prepare and edit correspondence, presentations, and other documentation
Conduct research, compile data, and prepare reports for decision-making
Assist in organizing and executing company events, conferences, and meetings
Handle confidential information and sensitive matters with discretion
Act as a liaison between executives and internal/external stakeholders
Manage email and phone correspondence, responding to inquiries and resolving issues
Prepare and distribute meeting materials, minutes, and action items
Maintain accurate and up-to-date records and databases
Communication and Coordination:
Facilitate effective communication among team members and departments
Coordinate and schedule meetings, conference calls, and virtual collaborations
Ensure prompt follow-up on action items and deadlines
Track and manage documentation, contracts, and agreements
Maintain centralized project and executive files and databases
Assist in the development and implementation of company policies and procedures
Additional Responsibilities:
Manage inbox and ensure timely responses to emails
Proficiency in Jira and Slack for project management and communication
QA experience and basic admin skills
Content creation and social media post management
Client follow-ups and meeting minutes preparation
Run daily scrum stand-up meetings
Requirements:
Proven experience as a Project Manager and/or Executive Assistant
Excellent organizational and time management skills
Strong attention to detail and ability to multitask effectively
Exceptional verbal and written communication skills
Proficient in using project management tools and software
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
Ability to work independently and meet deadlines with minimal supervision
Demonstrated problem-solving and decision-making abilities
Prior experience working in a remote or virtual environment is a plus
A bachelor's degree in a relevant field is preferred
