Greeting and Welcoming Guests:
The front office executive is usually the first point of contact for visitors and clients. They greet guests, provide information, and direct them to the appropriate person or department.
Managing Incoming Calls:
They handle incoming phone calls, transfer calls to the relevant individuals, take messages, and provide basic information to callers.
Scheduling Appointments:
The front office executive manages appointment calendars, schedules meetings, and arranges conference room bookings. They also notify staff members about upcoming appointments or meetings.
Maintaining Visitor Records:
They maintain a log of visitors, including their names, contact details, purpose of visit, and the person they are meeting.
This helps with security and tracking visitors.Managing Office Supplies:
They monitor and maintain inventory levels of office supplies, such as stationery, equipment, and other materials. They may also coordinate with vendors for procurement and ensure timely delivery.
Coordinating Travel and Accommodation:
Front office executives assist with travel arrangements for employees or guests, including booking flights, hotels, rental cars, and preparing itineraries.
Maintaining Reception Area:
They ensure the reception area is clean, tidy, and well-maintained. This includes organizing reading materials, displaying relevant company information, and keeping the area presentable.
Providing Administrative Support:
They assist with various administrative tasks, such as data entry, filing documents, photocopying, scanning, and organizing records. They may also assist with preparing reports or presentations.
Resolving Queries and Issues:
Front office executives address inquiries and provide information to internal staff and external parties. They handle complaints or concerns and escalate issues to the appropriate department when necessary.
Maintaining Security:
They monitor and control access to the premises, ensuring the safety and security of employees, visitors, and company assets.
This may include issuing visitor badges, monitoring CCTV cameras, and following security protocols.Job Types:
