Jhpiego is seeking a highly motivated and experienced Communications Officer based in New Delhi for its USAID-funded RISE project to coordinate the project's documentation efforts.

The Documentation Associate will be an instrumental pillar in capturing, organizing, and disseminating critical project information.

This role holds a pivotal responsibility in creating an enduring repository of project accomplishments, facilitating knowledge sharing, and ensuring seamless information flow within the Health Security and AMR program.

The position will report to the Program Officer - Knowledge Management.


Responsibilities:

Document Compilation and Organization:


  • Meticulously compile and organize project documents, including reports, guidelines, research findings, and technical briefs.
  • Establish a comprehensive digital library that facilitates efficient retrieval for project teams and stakeholders.

Content Standardization and Presentation:

  • Enforce documentation formats that ensure brand consistency, visual cohesion, and professional layout.
  • Collaborate with teams to elevate document aesthetics, enhancing their visual appeal.

Report Generation and Information Synthesis:

  • Contribute to the creation of regular progress reports, synthesizing insights from diverse project components.

Knowledge Sharing:


  • Assist in producing communication materials that translate technical content into relatable, engaging language.
  • Develop concise summaries, fact sheets, and presentations for effective sharing of project impact.

Database Management:


  • Maintain a meticulously organized digital database, ensuring secure storage and swift retrieval of project documents.
  • Regularly update and manage the database to reflect the latest project developments.

Quality Assurance and Review:

  • Conduct thorough document reviews to ensure precision, clarity, and alignment with established guidelines.
  • Collaborate with project teams to incorporate feedback and refine content.

Collaboration and Coordination:


  • Act as a liaison with project teams, stakeholders, and partners to collect and compile pertinent information.
  • Proactively engage with project members to facilitate the smooth flow of information.

Archiving and Data Security:

  • Establish robust protocols for document archiving, ensuring data security and enduring accessibility.
  • Implement data management practices that uphold privacy and confidentiality standards.

Miscellaneous:

Any tasks assigned by the supervisor or the head of the department of the Center for One Health

Required Qualifications:

  • Bachelor's degree in communications, documentation, information science, or a related field.
  • 2+ years of experience in documentation, content management, or information organization.
  • Proficiency in document formatting tools and software, including Microsoft Office Suite.
  • Impeccable attention to detail and a discerning eye for design and formatting aesthetics.
  • Exceptional written and verbal communication skills.
  • Aptitude for effective collaboration with crossfunctional teams and stakeholders.
  • Familiarity with database management and information retrieval systems is advantageous.
  • Proficiency in written and spoken English is essential.
  • Familiarity with the Indian public health system, newer initiatives in the health sector, and relevant government policies/ strategies particularly the National Health Mission, and Ayushman Bharat
