Location - Okhla, Phase-1

Work hours - 9:30AM to 6:30PM OR 10AM to 7PM

Job Summary:


We are looking for an Executive Assistant to the Director to perform a variety of administrative tasks and support our company's Directors.

Executive Assistant's responsibilities include managing calendars, making travel arrangements and preparing expense reports.

To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

The Executive Assistant to the Director provides high-level administrative support to the Director of an organization.

This role involves a combination of administrative tasks, project management, and communication coordination to help streamline the director's workflow and enable them to focus on their strategic and leadership responsibilities.


Key Responsibilities -

Administrative Support:

Ø Manage the director's calendar, schedule appointments, and arrange meetings.

Ø Prepare and edit documents, reports, and presentations.

Ø Handle travel arrangements, itineraries, and expense reports.


Communication and Liaison:

Ø Act as a liaison between the director and other staff members, clients, and external stakeholders.

Ø Manage and respond to inquiries on behalf of the director, both in writing and verbally.

Ø Coordinate and distribute internal and external communications.


Project Coordination:

Ø Assist in planning and organizing special projects, events, or initiatives.

Ø Track project deadlines, deliverables, and progress, ensuring timely completion.

Ø Conduct research and provide information for decision-making.


Confidentiality:

Ø Handle sensitive information and maintain strict confidentiality at all times.

Ø Ensure the security of documents and data.


Office Management:

Ø Organize and maintain office supplies and equipment.

Ø Oversee the director's office budget and expenses.


Meeting and Presentation Support:

Ø Prepare agendas and materials for meetings.

Ø Attend meetings, take minutes, and follow up on action items.

Ø Assist with the creation and delivery of presentations.

Ø Fixing appointments with the clients through calls and mails.

Ø Maintaining daily reports.

Ø Should maintain proper filing.

Ø Letter drafting in Hindi and English both.


Problem Solving:

Ø Address operational issues and solve problems proactively.

Ø Collaborate with other staff to streamline workflows and improve efficiency.


Qualifications:

Ø Bachelor's degree or equivalent work experience.

Ø Proven experience as an executive assistant or similar role.

Ø Excellent organizational and time-management skills.

Ø Strong communication skills, both written and verbal.

Ø Proficiency in office software and productivity tools (e.g., Microsoft Office Suite, Google Workspace).

Ø One should be Result Oriented.

Ø Adaptability, discretion, and the ability to handle sensitive information.

Ø Attention to detail and a commitment to accuracy.

Ø Ability to work independently, manage multiple tasks, and meet deadlines.
