Computershare Business Support Services Private Limited (CBSS) is a Computershare subsidiary responsible for providing offshore operational and technology support to specified Computershare lines of business, exclusively Computershare Corporate Trust (CCT) for the next 24 months with opportunity to grow to other business lines thereafter.

CBSS is expected to collaborate with onshore teams to provide agreed upon servicing to CCT.


Job purpose


As our Executive Assistant to our Regional Director of Computershare Business Support Services (CBSS), you will handle all office management functions in our Hyderabad and Bangalore offices.

You will be the lynchpin in all day-to-day administrative activities for this business line.


Key Accountabilities (List in order of importance and time spent)

Measures

  • Frequently processing highly confidential and sensitive company data
  • Communicating effectively with the support staff as well as senior management
  • Extensive diary management as well as organising all travel arrangements both nationally and internationally including all logistics.
  • Following up to ensure all people activities are completed. These include chasing E-Learning, chasing up audit items and updating the gifts and hospitality register.
  • Preparing the Leadership Team Meeting papers, by following up with the attendees for content and updates.
  • Taking minutes at the various Leadership Team Meetings and following up on all actions without being prompted.
  • Assistance with coordination of internal and external meetings, including clients, sales and marketing and industry events
  • Supporting collection and tracking of key management information
  • Supporting marketing and client teams with industry awards process
  • Ad hoc project support and coordination as required.
  • Handling all purchase orders, invoices, and processing expense claims.
  • Compliance with all applicable regulations.
  • Identifies and initiates areas of improvement and recommends business solutions to achieve longterm goals.
  • Provide leadership support to ensure leader is organized, ontime, and well prepared for whatever lies ahead.
  • Provide Meeting Prep/Implementation and Appointment Coordination to increase executive's productivity by taking on assignments & projects.
  • Initiate daily touch base meeting to confirm the day's priorities, clarify assignments, and resolve open issues.

Functional knowledge


The Executive Assistant (EA) role requires excellent organization skills and the ability to manage and prioritize the Regional Director's calendars accurately and efficiently.

The EA should be highly proficient in travel planning and management for the leadership team and international visitors.

The role is also responsible for administering the Regional Director's workload by tracking and following up on meetings, action items and project tasks.


Business Experience


The EA role has an excellent understanding of how the business unit teams work together to successfully achieve the business unit goals and objectives.

The role holder has prior experience supporting leadership and overall office management.


Leadership Skills
The EA must be comfortable working in a fast-paced environment and able to adapt quickly to change.

The role holder should have previous experience interacting and communicating with all levels of management and staff, both within CBSS and CPU as a whole.

Impact


The role holder's work product will have a direct impact on the success of the Regional Director and CBSS as an entity.


Interpersonal Skills
Strong and professional communicator that can partner with all levels of the organization. The role holder will also require tact and diplomacy when dealing with complaints, sensitive issues, and business requests.
