The Jewelry Billing Specialist is responsible for managing the billing and invoicing processes within a jewelry store or a jewelry department of a larger retail organization.

They ensure accurate and timely billing of customers for purchases made, including jewelry items, repairs, and related services. The role requires attention to detail, strong organizational skills, and proficiency in financial systems and software.


Responsibilities:


Billing and Invoicing:
Generate accurate and detailed invoices for customers based on their purchases, repairs, and services rendered. Ensure that all relevant information such as item descriptions, quantities, prices, discounts, and taxes are included in the invoices.

Price Verification:

Collaborate with the sales team and inventory management to verify the accuracy of pricing information for each item sold.

Make necessary adjustments or corrections to ensure proper pricing is reflected on invoices.

Payment Processing:
Process customer payments, including cash, credit cards, checks, or other forms of payment. Verify the accuracy of payment amounts, reconcile any discrepancies, and provide customers with payment receipts.

Customer Service:
Address customer inquiries regarding their invoices, payments, or any billing-related issues. Provide excellent customer service by promptly resolving any concerns or discrepancies in a professional and courteous manner.

Records Maintenance:
Maintain organized and accurate records of all billing transactions, invoices, and payment receipts. Ensure proper documentation is filed and archived for future reference or audit purposes.

Reporting:
Generate regular reports related to billing activities, such as sales revenue, outstanding invoices, and payment collection status. Analyze and interpret data to identify trends, potential issues, or areas for improvement.

Collaboration:
Collaborate with the sales team, inventory management, and other relevant departments to ensure seamless coordination of billing processes. Communicate any discrepancies or issues promptly and work towards effective solutions.

Compliance:
Adhere to company policies, procedures, and guidelines related to billing, invoicing, and financial transactions. Maintain strict confidentiality of customer information and financial data.


Qualifications:

High school diploma or equivalent; a degree in accounting, finance, or a related field is a plus.

Previous experience in billing, invoicing, or accounts receivable is preferred, preferably in a retail or jewelry industry.

Familiarity with jewelry products, pricing, and terminology is beneficial.

Proficiency in using billing software, financial systems, and MS Office Suite (Excel, Word).

Strong numerical and analytical skills with attention to detail.

Excellent written and verbal communication skills.

Customer-oriented with a focus on providing exceptional service.

Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.

Strong problem-solving skills and ability to resolve billing-related issues.

Knowledge of sales tax regulations and compliance is a plus.
