As an Executive Assistant to the CEO of an Electric Vehicle (EV) charging startup, you will play a critical role in ensuring the smooth functioning of the CEO's daily activities and contribute to the overall success of the company.
Your responsibilities will range from managing schedules, coordinating meetings, and handling communications, to providing administrative support, conducting research, and facilitating efficient decision-making.
Responsibilities
1.
Calendar Management
- Efficiently manage the CEO's schedule, including appointments, meetings, and travel arrangements
- Prioritize and schedule activities to optimize the CEO's time and productivity
Communication
- Draft and edit correspondence, presentations, and documents as needed
Meeting Coordination
- Organize and coordinate internal and external meetings, including preparing agendas, gathering necessary materials, and ensuring participants are wellinformed
Travel Arrangements
- Plan and coordinate travel arrangements, including flights, accommodations, and transportation, considering time and cost efficiency
Information Management
- Maintain organized and uptodate files, records, and databases
- Research and gather information for various projects, presentations, and reports
Administrative Support
- Handle administrative tasks such as expense reporting, invoice processing, and supply management
- Assist in preparing reports, presentations, and documents for internal and external use
Confidentiality
- Maintain strict confidentiality of sensitive information related to the company, employees, and business strategies
Project Support
- Assist the CEO in managing and tracking progress on key projects and initiatives.
- Collaborate with other team members to ensure project milestones are met
Liaison
- Act as a point of contact between the CEO and internal/external stakeholders, clients, and partners
Problem Solving
- Proactively identify challenges and opportunities for process improvement, offering innovative solutions
Ad hoc Tasks
- Handle various ad hoc tasks and requests that contribute to the CEO's effectiveness and the company's success
Qualifications
- Bachelor's degree in Business Administration, Management, or related field (preferred)
- Proven experience as an Executive Assistant
- Strong organizational and timemanagement skills
- Excellent communication, both written and verbal
- Proficiency in office software (Microsoft Office, Google Workspace, etc.)
- Discretion and trustworthiness due to exposure to confidential information
- Ability to multitask, prioritize, and adapt in a fastpaced environment
- Knowledge of the electric vehicle industry or related technology startups is a plus
