Personal Assistant (Male) to Managing Director
No fixed Timing
Position Overview:
The Personal Assistant to the Managing Director (MD) / Partner plays a critical role in providing comprehensive support to the MD in managing their daily activities, schedules, and administrative tasks.
Responsibilities:
Calendar Management:
- Coordinate and manage MD's calendar, scheduling meetings, appointments, and travel arrangements.
- Anticipate scheduling conflicts and proactively resolve them to optimize the MD's time.
Communication Liaison:
- Act as the primary point of contact between the MD and internal/external stakeholders, screening and prioritizing communications.
Travel Arrangements:
- Arrange complex travel itineraries, including flights, accommodations, ground transportation, and visa requirements.
- Prepare detailed travel agendas and ensure all necessary documentation is in order.
Meeting Support:
- Prepare agendas, presentations, and relevant documents for meetings attended by the MD.
- Record meeting minutes and follow up on action items as needed.
Administrative Support:_
- Manage administrative tasks such as maintaining confidential files.
- Handle incoming calls, inquiries, and requests, redirecting them as appropriate.
Information Management:
- Organize and maintain electronic and hardcopy filing systems, ensuring easy access to documents and information.
- Conduct research on various topics as requested by the MD, compiling findings into concise reports.
Event Coordination:
- Assist in planning and coordinating corporate events, conferences, and special projects as directed by the MD.
- Coordinate logistics, RSVPs, and catering for events attended or hosted by the MD.
Confidentiality:
- Exercise discretion and maintain confidentiality in handling sensitive information and discussions.
Professional Representation:
- Represent the MD in a professional and courteous manner in all interactions, both internally and externally.
Qualifications:
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Proven experience as a Personal Assistant or Executive Assistant, preferably supporting Clevel executives.
- Exceptional organizational and timemanagement skills with the ability to prioritize tasks and work under pressure.
- Excellent communication skills, both verbal and written, with a high level of professionalism.
- Strong attention to detail and accuracy in all tasks.
- Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.
- Flexibility to adapt to changing priorities and work schedules.
- Prior experience in managing travel arrangements and coordinating events is desirable.
- Demonstrated ability to work effectively both independently and as part of a team.
Salary:
Up to ₹540,000.00 per year
