    Job Title: Executive Manager - Admin & Facilities

    Location: Bengaluru

    Business & Team: The Chief operating office supports organization-wide needs to drive various initiatives spanning across Admin & Facilities, Strategy & Performance, Robotic Process Automation, Data Reporting & Analytics, People Engagement Activities etc. This role plays a pivotal role in ensuring the smooth operation of the organization's facilities and administrative functions. This role encompasses overseeing the management of the physical workspace, administrative infrastructure, and vendor relationships essential for the organization's day-to-day functioning.

    Impact & contribution:

  • Coordinate with facility management teams to ensure adherence to safety standards, cleanliness, and optimal working conditions.
  • Manage office security systems, access controls, and emergency procedures.
  • Manage administrative staff, including receptionists, clerical workers, and office assistants.
  • Ensure effective communication channels within the administrative team and with other departments.
  • Reporting Lines: The role position reports into the Chief Operating Officer – CBA India

    Roles & Responsibilities:

    Facilities Management-

  • Oversee the maintenance and upkeep of the organization's physical facilities, including office spaces, common areas, and amenities.
  • Coordinate with facility management teams to ensure adherence to safety standards, cleanliness, and optimal working conditions.
  • Manage office security systems, access controls, and emergency procedures.
  • Develop and implement strategies for space optimization and utilization.
  • Administrative Infrastructure-

  • Establish and maintain efficient administrative processes and procedures to support the organization's operations.
  • Manage administrative staff, including receptionists, clerical workers, and office assistants.
  • Ensure effective communication channels within the administrative team and with other departments.
  • Implement technology solutions to streamline administrative tasks and enhance productivity.
  • Vendor Management-

  • Identify, evaluate, and select vendors for various services, including janitorial, security, catering, and maintenance.
  • Negotiate contracts and service agreements to ensure favourable terms and cost-effectiveness.
  • Monitor vendor performance and compliance with contractual obligations.
  • Resolve any issues or disputes with vendors in a timely and professional manner.
  • Budgeting and Financial Management:

  • Develop and manage budgets for facilities, administration, and related expenses.
  • Monitor spending, identify cost-saving opportunities, and ensure adherence to budgetary constraints.
  • Prepare regular financial reports and forecasts related to facilities and administrative expenses.
  • Compliance and Risk Management:

  • Ensure compliance with relevant regulations, codes, and standards governing facilities management and administrative practices.
  • Identify potential risks and implement measures to mitigate them, such as disaster recovery plans and business continuity strategies.
  • Conduct periodic audits and inspections to assess compliance and identify areas for improvement.
  • Leadership and Team Development:

  • Provide leadership, guidance, and support to the administrative and facilities management team.
  • Foster a culture of professionalism, collaboration, and continuous improvement.
  • Identify training and development needs for staff and facilitate learning opportunities to enhance skills and knowledge.
  • Essential Skills:

  • Should have 18+ years of industry experience in Facility, Administrative and Vendor Management
  • Proven experience in facilities management, administrative leadership, and vendor management managing large corporate offices.
  • Strong organizational and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in budgeting and financial management.
  • Knowledge of relevant laws, regulations, and industry best practices.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Qualification: Bachelor's degree in Business Administration, Facility Management, or a related field (Master's degree preferred).
