    Description

    Role: Executive Assistant
    Location:Bandra Mumbai (Hybrid; 3days in office)
    ExperienceRequired: Freshers
    Salary Band: 4.24.6LPA

    JobOverview: United Way Mumbai has a 6member leadershipteam comprising of the CEO COO and 4 department heads. Thisposition is for an Executive Assistant to support this leadershipteam.

    JobResponsibilities:

    • CalendarManagement: Effectively managing the leadership teams schedulesincluding coordinating meetings appointments and events. This mayinvolve sending meeting invitations and ensuring that all necessarymaterials and information are available inadvance.
    • Travel Arrangements: Making travelarrangements for the leadership team including booking flightshotels transportation and creating itineraries. This may alsoinvolve coordinating visa applications and ensuring alltravelrelated documents are in order.
    • MeetingSupport: Assisting in the preparation of meeting agendas collectingand organizing relevant materials and documents and distributingthem to participants in a timely manner. Taking meeting minutes andfollowing up on action items and decisions made duringmeetings.
    • Research and Reporting: Conductingresearch and gathering information on various topics as assigned bythe leadership team. Compiling and analyzing data preparing reportspresentations and other documents to support decisionmaking andfacilitate effectivecommunication.
    • Confidentiality and DataManagement: Maintaining confidentiality of sensitive informationsuch as financial records donor information and strategic plans.Handling and organizing data files and documents in a secure andsystematic manner ensuring easy retrieval and efficientrecordkeeping.
    • Relationship Management:Building and maintaining positive relationships with stakeholdersincluding donors partners board members and government officials.Facilitating communication and collaboration between the leadershipteam and these key stakeholders to support the organizations goalsand initiatives.
    • Administrative Support:Providing general administrative support to the leadership teamsuch as managing expenses and reimbursements processing invoicesand coordinating logistics for meetings andevents.

    Profilerequisites:

    • Bachelorsdegree. Candidates with training in secretarial practice will bepreferred.
    • Excellent communication skills bothwritten and verbal with the ability to communicate effectively witha wide range of stakeholders
    • Strongorganizational skills and attention to detail with the ability tomanage multiple tasks and prioritiessimultaneously
    • Proficiency in Microsoft OfficeSuite including Word and Excel
    • Ability tomaintain a high degree of professionalism andconfidentiality
    • Ability to work independentlyand as part of a team with a positive attitude and strong workethic
    • Prior work experience is not aprerequisite but candidates with some experience in similar roleswill be preferred.

    Hiring Process: 3rounds of interviews assignment (usually post 1stround).
    Final round interview mandatorily inperson. Theprocess will take 715 days
