About the Opportunity
Position Overview:
The Operations Support Team Member plays a pivotal role in ensuring the smooth execution of daily operations within the organization. This position requires a proactive individual capable of multitasking and efficiently handling a wide range of tasks from operational oversight to customer and vendor interaction. The ideal candidate will possess strong organizational, communication, and problem-solving skills, acting as a crucial link between the company, its customers, and its vendors.
Key Responsibilities:
1. Daily tasks
2. Rental Order and Purchase Order Reconciliation:
Regularly cross-check and reconcile work orders released from Customers against the company's issued purchase orders.
Identify and address any discrepancies or inconsistencies to ensure accuracy in billing.
3. Invoice Management:
Responsible for the timely preparation and issuance of invoices on a weekly or monthly basis, depending on the service or contractual agreement.
Ensure invoices accurately reflect provided services or products, adhering to contractual terms and pricing agreements.
4. Proactive Issue Reporting:
Continuously monitor operations, customer feedback, and vendor performance to identify potential issues or areas for improvement.
Proactively report identified issues to the leadership team, along with suggestions for resolution or enhancement.
5. Customer Issue Frontline:
Serve as the primary point of contact for customer issues, ensuring a responsive, courteous, and effective service experience.
Understand customer concerns, providing immediate assistance where possible, or escalating issues to relevant departments for further action.
6. Customer and Vendor Follow-up:
Maintain ongoing communication with customers and vendors regarding the status of issues, orders, or resolutions.
Ensure all parties are informed of progress and any actions required, working diligently until full resolution is achieved.
