    Job Summary

    Seeking proactive, detail-oriented Executive Assistant to support senior leadership. The ideal candidate will be a proactive problem solver, strong communication skills, and adept problem-solving abilities. Flexibility, consistency, and confidentiality are crucial in this dynamic executive environment.

    You are good at

    1. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
    2. Strong written and verbal communication skills, including exceptional attention to detail and grammar.
    3. Proficiency in office productivity software, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with document management systems.
    4. Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
    5. Exceptional interpersonal skills, with the ability to build rapport with others at all levels of the organization.
    6. Strong problem-solving and critical thinking abilities, with a proactive and solution-oriented mindset.
    7. Flexibility and adaptability to handle changing priorities and work effectively in a fast-paced environment.
    8. High level of professional integrity, discretion, and confidentiality.

    Responsibilities

    • Calendar Management:

    -Coordinate and maintain a dynamic calendar, managing appointments, meetings, and conferences on a global scale.

    • Travel Logistics:

    -Take charge of comprehensive travel arrangements, including visa processes, ticket bookings, cab arrangements, and hotel accommodations.

    • Communication Hub:

    -Manage phone calls, routine emails, and correspondence with vendors and clients on both national and international fronts, demonstrating effective communication skills.

    • Project Follow-Up and Reporting:

    -Implement and maintain robust follow-up systems for project and assignment timelines.

    -Keep the Business Unit Head informed of developments and provide status reports, fostering seamless communication with internal and external teams.

    • Ad Hoc Research Projects:

    -Undertake ad hoc research projects with precision and attention to detail, ensuring timely completion with 100% accuracy.

    • Confidentiality and Integrity

    -Uphold a high level of integrity, maintaining confidentiality in day-to-day operations and handling sensitive information with discretion.

    • Meeting and Event Coordination:

    -Efficiently organize and service meetings, social gatherings, and events, contributing to a seamless and professional environment.

    • Industry Awareness:

    -Stay abreast of the latest industry trends and events, providing insights to enhance business strategies.

    • Personal Appointments and Insurances:

    -Manage personal appointments and calendar for the Business Unit Head.

    -Oversee all insurance and claim processes efficiently.

    Required Skills

    1. Bachelor's degree (Master's degree is a plus) with 0-3 years of relevant work experience preferably exposure to multiple cultures and US time zones.
    2. Should be comfortable working from the office (5-day working role) and should also be open to working in the US time zone if and when necessary.
    3. Proficiency in Gsuite.
    4. Immaculate written and oral communication skills with the ability to take ownership of one's work.
    5. Process-oriented: Demonstrable commitment to following processes, documentation, etc.
    6. Intelligent with good logical reasoning.
    7. Proactive with a go-getter attitude.
