    Role: Administrative Executive

    Job Summary:

    The Administrative Executive plays a pivotal role in ensuring the smooth operation of administrative functions within the hospitality establishment. This individual is responsible for managing various administrative tasks, providing support to management, and ensuring excellent customer service.

    Duties and Responsibilities:

    1. Administrative Support:

    • Provide administrative support to the management team, including scheduling meetings, managing calendars, and handling correspondence.
    • Maintain and organize files, records, and documents in both digital and physical formats.
    • Prepare reports, presentations, and other documents as required by management.

    2. Customer Service:

    • Ensure high-quality customer service by promptly responding to inquiries, resolving customer complaints, and addressing customer concerns.
    • Coordinate with other departments to fulfill guest requests and ensure a seamless experience for guests.

    3. Office Management:

    • Oversee office operations, including managing supplies inventory, ordering supplies as needed, and ensuring equipment is properly maintained.
    • Supervise administrative staff and provide training and support as necessary.

    4. Event Coordination:

    • Assist in planning and coordinating events, including conferences, meetings, and special functions.
    • Coordinate logistics such as venue booking, catering, and audiovisual requirements.

    5. Financial Administration:

    • Assist with financial administration tasks, such as processing invoices, reconciling accounts, and preparing financial reports.
    • Monitor expenses and ensure adherence to budgetary guidelines.

    6. Communication and Liaison:

    • Serve as a liaison between management, staff, and external stakeholders, conveying information accurately and professionally.
    • Communicate effectively with vendors, suppliers, and service providers to ensure smooth operations.

    Qualifications:

    • Bachelor's degree in Hospitality Management, Business Administration, or related field preferred.
    • Proven experience in administrative roles within the hospitality industry.
    • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
    • Excellent communication and interpersonal skills.
    • Proficiency in MS Office Suite and other relevant software applications.
    • Attention to detail and accuracy in data entry and record-keeping.
    • Ability to work independently and collaboratively in a fast-paced environment.
